Policy and Procedures for Supporting
Meetings on Professional Matters

The IOMP Professional Relations Committee (PRC) is charged, according to the IOMP policy on Scientific, Educational and Professional meetings (http:/www.iomp.org), to assist with the promotion of internationally sponsored meetings on Professional Matters.

Procedure for obtaining PRC support

1.      The meeting addressing Professional Matters must be co-sponsored by IOMP National Member Societies and/or Regional Organizations of Medical Physics as well as other countries (non-members) that seek our assistance.

2.      An application form for PRC support (available on the IOMP web site or from the Secretary General), should be submitted by the Meeting Director at least one year prior to the meeting date.

3.      The application will be reviewed by the members of the PRC and recommendations for approval with full funding, partial funding or disapproval will be submitted, together with the application form, to the IOMP Secretary General for official consideration by the IOMP officers. Attempts will be made to complete the above procedure as soon as possible and at least six months prior to the meeting date.

4.      The final decision of the IOMP Officers, will be communicated to the Meeting Director by the Chairperson of the PRC.


General Requirements

1.      Any request for financial support should have a detailed statement as to how the organizers plan to utilize the IOMP funds.

2.      A post meeting report is obligatory within two months after the meeting date.

3.      No vendor’s presentation is allowed during any meeting sponsored by the IOMP unless it is on Professional Matters and is presented by a Medical Physicist/Scientist.

4.      Meeting registration fees for the IOMP members participating from developing countries (a list appears on the IOMP web site) should be the same as the registration fees for local participants.

Priorities for Financial Support

Preference is given for funding meetings on Professional Matters which promote the greatest benefit to the largest number of Medical Physics participants. This is best demonstrated by supporting letters from IOMP National Member(s) or Regional Affiliates, whichever is appropriate, if such organisations are supporting the meeting.

Funding will be considered with the following order of priority:

1.      Local expenses for organizing meetings on Professional Matters involving more than one country.

2.      Local expenses for organizing a meeting on Professional Matters for a single country.

3.      Local expenses for organizing regional/local conferences that include at least one day on Professional Matters.

4.      Travel expenses of faculty responsible for generating a major portion of the regional/local meeting on Professional Matters.

Exclusion from IOMP Financial Support

1.      A non IOMP member country (except countries with pending IOMP Membership Application).

2.      A country that has received an IOMP grant in the prior three-year period.

3.      Meetings or conferences without any sessions on Professional Matters.

4.      Travel expenses for individuals for attending or presenting at meetings other than on Professional Matters.

Instructions to Applicants

1.      Fill out the application form and send your request for IOMP sponsorship or financial support for meetings on Professional Matters to the Chairperson of the IOMP Professional Relations Committee  (PRC), at least one year prior to the requested date for support.

2.      Submit with the application form any pertinent material (if any) in support of your application.
